Before you automate it, ask why it exists.

Every business has a process that nobody can quite explain. A spreadsheet gets copied. A report gets circulated. Someone re-enters the same details in another system.

AI can make parts of this faster. But speed is not always the missing ingredient.

Find the purpose.

Ask who uses the result and what decision it supports. If nobody can answer, pause before building anything. The most useful change might be to stop doing the task.

Look at the whole journey.

A task that takes five minutes may sit inside a process that waits five days for approval. Automating the five minutes does little for the customer. Follow the work from the initial request to the outcome, including handovers and exceptions.

Count the checking.

Generating an output is only one part of the job. Include the time needed to review it, correct errors and handle unusual cases. Compare the complete process with the current way of working.

Try one small, reversible change.

Choose a bounded task. Decide in advance what improvement would justify continuing. Test it with representative examples and keep a way to revert if it makes the work worse.

The goal is useful work done well. Sometimes that involves AI. Sometimes it involves a shorter form and a conversation.
